Which One Is Better, Laser or Inkjet Printer? I Was Asking the Wrong Question

I hear a version of this question more often than you would think: “Which one is better, laser or inkjet printer?”

It sounds simple. It is not. After 11 years of handling print production orders in a small commercial shop, I have personally made and documented 23 significant equipment-buying mistakes. Total waste? Roughly $86,000 of budget that I will never get back.

The most expensive mistake was not about a press. It was about a $340 purchase that looked completely harmless.

The $340 “small printer scanner” that cost $1,900

A few years ago, we bought a small printer scanner combo for the front office. It fit under the counter. It promised scan-to-email, color printing, and a tiny footprint. It was supposed to handle paperwork, nothing more.

But it became the de facto proofing device. Because it sat next to the order entry desk, staff started using it for customer proofs. That machine was not calibrated to any color standard. It was not even close to a proofing device.

One client approved a logo color based on a printout from that machine. When the job ran on our press, the sheets did not match what the client had approved. The whole run went in the trash. $1,900 of paper, ink, and makeready gone, plus a 5-day delay.

I cannot blame the printer. A small printer scanner is fine for scanning and basic office work. My mistake was letting it become part of a production color workflow. That is a process failure, not a product failure.

Why “which one is better” is the wrong first question

People want a single answer: laser wins, inkjet wins, this brand wins, that brand wins. The problem is that a print device never exists in a vacuum. It exists inside a system made of substrate, operator skill, ink or toner, color management, media size, run length, maintenance, and resale value.

A laser printer can be the best tool for black text on standard paper. A pigment inkjet can be the best tool for photographic color. A thermal label printer can be the best tool for shipping labels. A Brady handheld label printer can be the best tool for durable wire and asset tags.

None of that means the others are bad. It means you have to know the job before you can name the machine.

No one wants to hear it, but “which one is better laser or inkjet printer?” is not the question. The question is: what process will this machine live inside?

The short answer, with context

Here is the practical version I use when customers push me for a direct comparison:

  • If you mostly print black-and-white documents, forms, and office paperwork, a laser printer is still hard to beat. Toner is dry, fast, and predictable on plain paper.
  • If you print photos, color-heavy marketing pieces, or proof images with fine gradients, a pigment inkjet will often produce better color. But you need the right paper profile and enough drying time.
  • If you need industrial labels for wires, cables, panels, or asset tags, a Brady handheld label printer is a solid choice. It is built for tough environments. It is not designed to replace an office printer for full-size documents.
  • If you print long runs of identical sheets on coated stock and need consistent spot color, offset printing is still relevant. That is where a used Komori offset printing machine can make sense.

Each of those choices can be wrong if you ignore the surrounding workflow. A Brady handheld label printer will not print a 4x6 USPS shipping label well. A desktop laser printer is not a wide-format proofing system. A used offset press is not the right tool for 50 variable-data postcards.

When I almost missed the real question with a used Komori press

That front-office printer lesson changed how I approach bigger purchases. The clearest example was our decision to buy a used Komori offset printing machine.

At first, I looked at the machine the wrong way. I focused on impressions, speed, and sheet condition. Those matter. But they are not the whole story.

The real questions were about support. Is there a dependable supply of Komori press parts for this model? Does a local technician know the machine? Can our operators be trained on the feeder, delivery, and console? If we need to sell it in five years, is there an active market for it?

A used Komori offset printing machine can look risky if you treat it as an isolated metal box. It looks different when you place it inside a working system. In our case, parts availability was actually strong. The dealer could show us a list of commonly replaced komori press parts and which ones were in stock. We hired an independent technician to inspect the press before purchase. That inspection cost money, but it caught two small issues that became negotiating points.

I heard the phrase “buy the system, not the machine” for years. I only believed it after I ignored it and paid for a proofing disaster that had nothing to do with our press.

Offset and digital printing do not have to be enemies. In my shop, they serve different jobs. Short-run and variable-data jobs go to digital equipment. Long-run catalog and packaging work goes to the older offset press. That split is not about nostalgia. It is about efficiency.

Switching to a more structured workflow cut our turnaround time on repeat work from five days to about two and a half. That did not happen because one machine was magical. It happened because we stopped choosing equipment based on one spec and started matching machines to repeatable processes.

When people ask about newer Komori models, the KHS Hyper System gets mentioned a lot. I understand why: faster makeready and less waste are real advantages. But even that system only pays off if your prepress files are clean, your color bar is consistent, and your operators know how to use the console. Efficiency is not a checkbox. It is a process stack.

Color, size, and other boring things that decide the real winner

A lot of printer comparisons ignore the boring stuff. That boring stuff is exactly where my $86,000 in mistakes lives.

For brand-critical color, the industry benchmark is often Delta E < 2. If a small printer scanner cannot hold that tolerance, it has no business approving production color. It can still be a perfectly good scanner.

Resolution works the same way. Commercial print files are commonly built at 300 DPI at final size. A desktop printer may claim 1200 DPI output, but if the image file is low resolution, no printer can invent detail that was never there.

Mailing is another quiet trap. According to USPS Business Mail 101, there are specific size rules for letters and flats. You can print 5,000 beautiful pieces and still have them rejected if the wrong size format was used. The printer or press is not the problem. The problem is ignoring the rules around the print.

The boring checklist that catches what spec sheets miss

Now I keep a checklist on the wall behind my desk. Before comparing a used Komori press, a desktop laser, an inkjet, or a handheld label printer, we answer these questions:

  1. What exact jobs will this device handle?
  2. What media sizes and substrates must it support?
  3. What consumables are required, and how easy are they to get?
  4. What parts will fail, and who stocks them?
  5. Who will train the operators?
  6. How will we verify color, barcode, or dimensional quality?
  7. What happens when we eventually replace it?

That list is not exciting. It has caught at least 14 potential mismatches in the past 18 months. In most cases, the equipment was not bad. It was just wrong for the process we had.

So, which one is better laser or inkjet printer? The honest answer is: it depends on what you are trying to make. If you want durable cable labels, a Brady handheld label printer might be the right tool. If you want crisp office documents, laser is probably the better choice. If you want rich color photos, inkjet deserves a serious look. If you want efficient long-run offset printing, a used Komori offset printing machine with available Komori press parts and a good service network can outperform a newer machine that has no support.

Stop asking which machine is better. Start asking which machine fits the work. The answer becomes clearer, and a lot less expensive.
